Guide
Name badges for events: size, content and printing
A good badge is readable from 2 metres, shows the category from a distance and does not flip over on the lanyard. Here is how to get there.
What to put on the badge
- First name. The largest text on the badge. It should be readable from 2 metres.
- Last name. Smaller, under the first name.
- Company. At networking events this is the second most important line.
- Job title. Only if networking needs it. Shorten long titles in the registration form.
- Category. Speaker, partner, press, VIP. A coloured band at the bottom works best.
- QR code. Another attendee scans it and gets the contact. It is the simplest way to start networking.
What size
Conferences mostly use A6 (105 × 148 mm). It is large enough for the name and logos, and still light on a lanyard.
We print a double-sided folded badge: one long card prints and folds into an A6 badge with information on both sides. When the badge flips on the lanyard, the name is still visible.
Design that works
- Light background. Dark text on a light background is easier to read and uses less ink.
- One typeface, two sizes. The name, and everything else. You do not need more.
- Partner logos at the bottom. Not above the name.
- Colours by category. Security and volunteers only need to glance at the colour.
- No small details at the edges. The badge is folded and the edges wear.
Print in advance or on arrival
| In advance | On arrival, at a kiosk | |
|---|---|---|
| No-shows | Badges go in the bin | Nothing is printed |
| A typo in the job title | The badge is already printed | Fixed before arrival |
| Walk-in guests | A handwritten sticker | The same badge as everyone |
| Queue at the entrance | Searching alphabetically | Up to 15 s per person |
Printing in advance only makes sense for a small group, for example VIPs or speakers you hand badges to in person.
Holders and lanyards
Choose a lanyard with a carabiner hook, not a clip. A hook does not tear the badge. If lanyards carry a partner logo, order them at least 3 weeks before the event.
Checklist
- Layout approved with real long names and job titles.
- Category colours agreed with security.
- QR code tested with a phone on a printed badge.
- A spare box of badges and ink on site.
